The DFAT-funded Knowledge Partnership Platform (KONEKSI) is the Australia’s flagship program in the Indonesia knowledge and innovation sector. The purpose of the programme is to increase the use of knowledge- based solutions for inclusive and sustainable policies and technologies. This purpose positions
KONEKSI as a vehicle to produce knowledge on complex socio-economic problems, where effective solutions are often beyond a unique sector or category of stakeholders. It will support both the knowledge to policy cycle (K2P) and the knowledge to innovation cycle (K2I), in a complementary and synergistic way. KONEKSI will focus on two End of Investment Outcomes (EOIOs):
- Australian and Indonesian organisations have increased collaboration and mutual understanding through knowledge partnerships; and
- Innovative solutions for inclusive and sustainable policies and technologies are generated by knowledge partnerships.
Summary of the Position
Under the direction of the Procurement Coordinator, this position is responsible for effectively and efficiently managing the administrative processes for procurement and HR, ensuring smooth operations, and fostering collaboration across the operations division and other relevant divisions.
Key Responsibilities
Procurement:
- Providing assistance for non-complex procurement process (review procurement request, issue RFP, prepare bid analysis, issue PO and others as directed)
- Assist in establishing and maintaining vendor pool and bidding process with Panel
- Prepare and maintain vendor list database
- Assist in maintain weekly procurement tracking report
- Assist in monitor PO/Subcontract Agreement for payment balance and contract due date and notify the Proc Coordinator and Activity Manager/user
- Assist in prepare payment request and submission to finance
- Performing other procurement tasks when required
HR:
- Assist in tracking STAs LoE balances and contract periods, notifying the HR Officer and users when LoE balance is nearing completion, or the contract period is close to end.
- Provide reminder to STA on timesheet and payment periods.
- Review and prepare Payment Requests for STAs, submitting completed PRs to the finance team for further review and payment processing.
- Assisting the HR Officer with filing contract documents, Payment Requests, and other STA-related documentation.
- Support the hiring process for STAs.
JOB REQUIREMENTS
- Bachelor’s degree in Management, Economics, Business Administration, or a related field.
- Minimum 3 years in procurement, vendor management, or contract monitoring.
- Strong knowledge of procurement/HR policies and procedures.
- Excellent communication and teamwork abilities
- Strong time management and organisational
- Able to work independently with minimal supervision.
- Proficiency in Microsoft Office and Management Data System.
- Experience with donor-funded projects is a plus.
- Proficiency in English, both written and spoken, is preferred.
