Position Reports to: PHC Secretariat Lead
Location: Jakarta (based at MOH)
Overview
Jhpiego seeks an Secretariat Administrator to support the PHC Secretariat based at the Ministry of Health. This position works administratively to support effective collaboration among and between internal MOH directorates, external line ministries, donors, implementing partners and other key stakeholders to support achievement of the Government of Indonesia’s (GOI) goal of scaling up primary health care.
Responsibilities
Administrative:
- Maintain the PHC Secretariat office communications and coordination with the MOH, ensuring proper documentation of all communication and activities
- Provide administrative support to PHC Secretariat including clerical duties such as filing, answering phone calls, responding to emails, preparing documents, organizing meeting logistics and taking meeting notes
- Work closely with MOH administrative staff and assist operational activity needs as needed
- Contributes to regular communication and reporting on project approaches and successes.
- Work closely with PHC Secretariat Lead to develop monthly report, event report, and annual report of PHC Consortium
- Other duties as assigned by the PHC Secretariat Lead
Analytical :
- Work closely with PHC Secretariat Lead to analyse primary health care data and progress
- Work closely with PHC Secretariat Lead to support policy development
Internal Communication:
- Provide weekly updates on work progress and plans to PHC Secretariat Lead
- Inform the PHC Secretariat Lead as developments, MOH requests, information needs and changes in planned activities arise
Public Relations and Representation:
- Develop and maintain strong working relationships with Ministry of Health, PHC Consortium partners, and other key stakeholders in Indonesia to maximize resources and leverage synergies around technical PHC issues and programs
- Attend and support MOH in conducting events such as orientation, launching, seminar, etc
- Inform the PHC Secretariat Lead of any issues as they arise
Qualifications
- Minimum D3 diploma with 3-5 years of working experience on office administration
- USAID- and/or other donor-funded health sector programming experience required
- Experience working with government, NGOs, and other relevant stakeholders
- Excellent interpersonal skills and demonstrated ability to work in a multi-cultural environment
- Ability to work in a complex environment with multiple tasks, short deadlines and pressure to perform
- Written and oral fluency in Bahasa Indonesia; written and oral fluency in English preferred
