ZSL has been active in Indonesia for about 10 years, with a particular focus on the overlap between industrial development and biodiversity conservation. Key Purpose of the Job
The Operations Manager will be responsible for establishing and managing the ZSL office S/he will plan, organize and manage all operational support for operation activities in conjunction with the Project Director, including budget monitoring, financial management, procurement, and human resources and legal management. The Operations Manager ensures that project, donor, government and ZSL requirements are met, and holds a key communications role between ZSL Indonesia and ZSL Headquarters in London.
This position oversees the UKCCU/NICFI Project in South Sumatra.
The UKCCU/NICFI Project works with the Government of South Sumatra, national and district level governments, communities and the private sector to facilitate and support the government, private sector and local communities, to establish and pilot the sustainable landscape management partnership approach in the Sembilang-Dangku landscape of South Sumatra. The proposed impact of this project is to achieve “inclusive economic growth and community prosperity, biodiversity conservation, forest protection and restoration, and the ending of deforestation, peatland drainage and wildfires that reduce land-based Greenhouse Gas emissions”.
The Operations Manager will be based in Palembang, South Sumatera
Responsibility for Resources
The Operations Manager will report directly to the Deputy Project Director, and indirectly to Project Director.
The post holder will be responsible for managing the Finance Assistant and Admin Assistant in Palembang office and liaising with the Head of Operations at the ZSL Bogor Office. The post holder will also be expected to liaise closely with the Operations, Finance and HR team in Bogor.
The post holder will ensure that operation in Palembang are compliant with ZSL and the contractual agreement with the UK government.
Main duties and key responsibilities
1.Develop and implement an operations management system/SOPs to ensure the efficient use of human and financial resources.
2.Assess, improve and maintain the financial, HR and administrative systems for ZSL Palembang office, to ensure efficiency of finance and administration functions and to comply with ZSL policy.
3.Oversee financial management, reporting and administration functions within KS project for ZSL, and address issues as they arise.
4.Monitor grant contract, ensuring smooth close out process, including proper accounting and closing of books.
5.Effectively manage the team, ensuring work plans are agreed and carried out.
6.Ensure invoices/accounts payable are made in a timely manner.
7.Implementation of ZSL’s Handbook
8.Oversee procurement process and ZSL equipment assets.
9.Ensure the ZSL conforms to local laws and regulations.
10.Ensure that new staff are given adequate office orientation, which will be led by the HR Officer.
11.Oversee risk management and health and safety, in collaboration with the International Safety adviser based in London.
•The job requires continued professional internal and external interaction/ communications, both in person and via phone and email.
•The position will require close attention to detail in all aspect of the project and therefore concentration on the work in hand – precision and accuracy being vital attributes.
•The position will be relatively routine in terms of day-to-day tasks during office hours – however sometimes e.g. during field trips or when a workshop is being organized the next day, some flexibility in working hours may be required.
•This post is office based in ZSL’s office in Palembang, South Sumatera. However, travel to field sites and other ZSL offices will be required.

Qualifications & Experience
•Minimum Bachelor’s Degree in a relevant subject.
•Minimum of 7 years’ successful experience working in similar position with an international NGO.
•Experience of managing and developing a team is essential.
•Strong analytical and interpretative problem-solving skills.
•Self-motivated and resourceful, with the proven ability to multi-task and operate successfully under tight deadlines and time pressures.
•Strong written and verbal communication skills.
•Strong working relationship with stakeholders and the government Institutions.
•Grant Management experience with large international donors.
•Understanding about wildlife conservation, particularly in Indonesia is an advantage
•Knowledge of national and local government policies and regulations
