Position Reports To: Systems Administration Manager (with coordination report to Regional IT Manager)

Overview
The Office 365 Administrator requires an individual who is service-oriented; organized; and can interact with diverse end-users and technical staff, prioritize tasks, and resolve user account-related issues. Responsibilities include, but are not limited to, account management for Jhpiego Systems within on-prem and Office 365 Active Directory and Exchange; responding to, troubleshooting, and resolving service requests for user account-related issues; adhering to the SLA for the account management helpdesk queue; creating and maintaining reports and documentation on account management.
Responsibilities
User Access Management
- Perform account management tasks in Active Directory, SharePoint, and other Jhpiego systems, including provisioning and decommissioning of accounts
- Adhere to SLA to provide timely response and resolution to tickets within account management helpdesk queue
- Create, manage, and migrate mailboxes using Exchange and Exchange online
- Create and manage distribution lists and security groups for Jhpiego Systems
- Utilize reports to regularly audit user accounts, security and distribution groups, and license distribution
- Develop and maintain documentation around account management
- Complete assigned account management projects that meet yearly department goals
- Provide weekly reports on account management queue and problematic tickets
- Review reports within account management dashboard and take necessary action on user/computer objects
- Participate in network security projects around account management
- Work with network security analyst to ensure modern authentication methods are being used
- Help with Global IT Team to resolve tickets regarding access to Jhpiego systems
- Collaborate with Global Human Resources department and other key stakeholders on authorizations for account requests
IT Security and Compliance
- Implement and follow IT security procedures and processes that meet security requirements regarding access to Jhpiego systems
- Escalate security breaches or vulnerabilities to IT security team, following security guidelines
- Contribute to documentation regarding process and policies around user and computer objects within Active Directory
- Participate in annual account recertification process
- Follow onboarding/offboarding processes to ensure secured access of Jhpiego systems
IT Service Management
- Contribute to IT Knowledge Base
- Follow processes and procedures for incident and account management.
Project Management
- Manage assigned projects following IT processes and procedures
- Develop project charters and technical plans
- Monitor technical schedules and assignments
- Coordinate with project team members
- Provide status reports
Qualifications
- High School diploma or equivalent experience required; Bachelor degree in a related field preferred
- 2 years Active Directory experience; 5 years related experience preferred
- 2 years Microsoft Exchange experience; 5 years related experience preferred
- 3 years O365 experience
- Demonstrated ability to self-manage and to work collaboratively
- Able to script using PowerShell
- Experience interpreting, adapting, and applying organizational guidelines and procedures
- Ability to work independently and possess, detailed oriented with excellent problem-solving skills
- Demonstrated ability to effectively manage several major activities simultaneously; exercise sound judgment in managing daily technology services, determine priorities, and implement and monitor short and long-range project plans
- Excellent interpersonal and communication skills, orally and in writing
- Basic knowledge of Microsoft network infrastructure, security tools, and protocols
- Strong customer service orientation and ability to interact well with diverse end-users and technical staff
- Exercise independent judgment in determining and implementing improvements/solutions
- Ability to follow standard practices and procedures in analyzing situations involving readily identifiable problems
- Able to communicate well orally and in writing
- Understand and apply fundamental network concepts
- Ability to exercise independent judgment in determining and implementing improvements/solutions for computer hardware
- Experience training individuals in best practices of using computers, managing personal data files, and software applications
- Understanding and ability to practice a structured approach to troubleshooting, diagnosing and resolving computer problems
- Strong time management skills
- Ability to explain technical issues to a non-technical audience on a regular basis
- Work collaboratively with clients, other technicians and vendor representatives
