As we are constantly expanding, we are currently hiring to fill the following position for our office in Fakfak, West Papua:

Fakfak Finance and Admin Officer

(Code: FF-FAO)

Fakfak Finance and Admin Officer will be supervised by the Kaimana-Fakfak Senior Operation Coordinator The purpose of the role is to prepare proper administration with accurate and timely processing, reporting and monitoring of financial transactions, and to implement finance procedures in accordance with Konservasi Indonesia policies and procedures for accountable and reliable report.

 

Full time position with fixed term contract, the contract will be less than 1 year (until June 2023) with the possibility of extension based on budget availability and performance.

 

KEY RESPONSIBILITIES:

  1. Financial Duties:
  • Handle Fakfak Office Petty Cash, preparing bank disbursements while making sure that all financial transactions are in budget and accordance with Konservasi Indonesia procedure and policy. Review Travel Expense Report to comply with Konservasi Indonesia regulation with adequate supporting documents.
  • Handles regular office payments i.e.: utilities, Telephone, Internet, Car/Motorcycle Rent, Outsource Payment, etc.
  • Enters all financial transactions (petty cash voucher, bank payment voucher, general ledger journal) into Konservasi Indonesia’s online accounting system on daily basis and making sure that all are correctly charged to the approved charging codes.
  • Ensures that Travel Advances or Activity Advances are cleared in timely manner.
  • Prepares monthly tax worksheet of Fakfak office and submits it to Jakarta office.
  • Prepare reconciliation for GL Account: Bank, petty cash, A/R and A/P
  • Prepare monthly cash request for 45 calendar days field needs and submit it to Jakarta office and request transfer(s) of money to BNI Fakfak to ensure that there is always enough fund in the bank account to cover all field activity costs.
  • Maintains the files of payment vouchers, general journal vouchers, financial reports, bank statements, and other financial documents of Fakfak office

 

 

  1. Administration:
  • Arranging meeting, workshop and events (venue selection, logistics arrangement, materials, and communication with participants).
  • Prepare overtime payment if any
  • Maintain and manage office supplies including make standard office needs and maintain the stock, such as stationery, kitchen supplies, etc.
  • Purchase regular office supplies (stationary and groceries) and maintain office supplies inventory
  • Ensuring the vehicle (car and motorcycle) log is managed as per regulation
  • Assists in arranging staff travel (reservation of flight and accommodation
  • Assists Supervisor/Program Manager in preparing contract or agreement for Service, Honorarium, Office Lease, Travel, Vehicle and Grants

 

 

  1. Other duties as assigned
  • On-time and accurate submission of all timesheets and expense reports (cash/travel advances, )
  • Ensures that all tasks are delivered smoothly, timely and accurately within minimum supervising
  • Any related tasks as assigned by the supervisor.

 

QUALIFICATIONS

  • Min of Diploma, Preferable – 2 years relevant work experience in Finance and Administration.
  • Effective verbal and written communication, multi-tasking, organizational, prioritization skills are necessary. Demonstrated detail focus, self-confidence, and an ability to follow procedures, meet deadlines and work independently and cooperatively with team members are required.
  • Possess good knowledge of local cultural setting in Papua
  • Computer skills with strong familiarity of word processing, spreadsheets, and database software are mandatory
  • Work well in dynamic situations

 

 

WORKING CONDITIONS

  • Work is performed in a typical office environment which requires field trip to sites or MPA if needed.
  • Flexibility to work outside normal work hours to meet deadlines as needed.
  • Working overtime sometimes is needed especially during a certain event
